Team Management
Give your staff access to the admin panel so they can help manage orders, update the menu, and run daily operations. This guide explains how to invite team members, manage seats, and understand roles and permissions.
Team Seats Overview
Team seats determine how many staff members can access your Ordery admin panel.
Standard Plan: Up to 5 seats (you + 4 team members)
Pro Plan: Unlimited seats
What counts as a seat: Each person with admin panel access uses one seat, including the account owner.
Viewing Your Team
- Go to Team in your admin panel
- See all active team members
- View pending invites
- Check your seat usage and plan limits
Inviting Team Members
How to Invite a Team Member
- Go to Team in your admin panel
- Click Invite Team Member
- Enter the person's email address
- Click Send Invite
What happens next:
- An invite email is sent to the recipient
- They receive a link to create their account
- The invite remains pending until they accept
- Once accepted, they use one seat
💡 Tip: Use work email addresses for team members. Personal emails may end up in spam.
Invite Delivery
Invites are sent via email using the Resend service.
What the email includes:
- Invitation to join your Ordery team
- Store name
- Link to accept the invite and create an account
- Expiry time (invites expire after a certain period to maintain security)
If the invite doesn't arrive:
- Check spam or junk folders
- Verify the email address is correct
- Resend the invite
Resending Invites
If a team member didn't receive the invite or it expired, resend it.
How to Resend
- Go to Team
- Find the pending invite
- Click Resend Invite
- A new email is sent immediately
Revoking Invites
If you sent an invite by mistake or the person is no longer joining, revoke it.
How to Revoke an Invite
- Go to Team
- Find the pending invite
- Click Revoke or Delete
- The invite link becomes invalid
What happens: The invite is deleted. If the person tries to use the link, they'll see an error.
Invite Redemption
Team members redeem invites by creating an account.
How Team Members Accept Invites
- Recipient opens the invite email
- Clicks the invite link
- Lands on a signup page
- Enters their name and creates a password
- Clicks Create Account
- They're logged in and taken to the admin panel
Security:
- Invite links are hashed and secure
- Each link is single-use
- Links expire to prevent stale invites from being misused
Removing Team Members
If a team member leaves, remove them to free up a seat.
How to Remove a Team Member
- Go to Team
- Find the team member
- Click Remove or Delete
- Confirm the removal
What happens:
- The person loses access to the admin panel immediately
- Their seat becomes available
- They can no longer view orders, edit the menu, or access settings
⚠️ Warning: Removing a team member is permanent. They'll need a new invite to regain access.
💡 Tip: Remove former employees or contractors promptly to protect your account security.
Protecting the Default Admin
The original account owner (you) cannot be accidentally deleted.
Why: To prevent locking yourself out of your own account.
What this means:
- You'll always have access
- Other team members can be removed, but the owner remains
ℹ️ Note: If you need to transfer ownership, contact support.
Roles and Permissions
Ordery currently provides full admin access to all team members. Granular role-based permissions (e.g., read-only, kitchen-only access) are not available at this time.
Current assumption: All team members have full admin access. They can view orders, edit menus, manage settings, and process refunds.
Future feature: Role-based permissions may be added to limit access (e.g., kitchen staff see orders only, managers see everything).
ℹ️ Note: If all team members have full access, trust is important. Only invite people you trust with sensitive business operations.
Seat Limits and Plan Upgrades
Standard Plan: 5 Seats
If you reach 5 seats, you'll see a message: "You've reached your team seat limit. Upgrade to Pro for unlimited seats."
What to do:
- Remove a team member to free up a seat
- Upgrade to Pro for unlimited seats
Pro Plan: Unlimited Seats
No limits. Invite as many team members as you need.
Best for:
- Large teams
- Multi-location businesses
- Businesses with multiple shifts or departments
Best Practices
Invite Only Trusted Team Members
- All invites grant full admin access
- Only invite people you trust with orders, payments, and settings
- Remove former employees immediately
Use Work Email Addresses
- Easier to manage when staff leave
- Less likely to end up in spam
- Professional and clear
Track Who Has Access
- Review your team list regularly
- Remove inactive or former staff
- Keep the team list up to date
Communicate Clearly
- Tell team members to check their email (including spam)
- Provide a deadline for accepting invites
- Follow up if they haven't accepted
Plan for Seat Limits
- Monitor seat usage on Standard plan
- Upgrade to Pro before you hit the limit
- Don't wait until you urgently need to add someone
Common Questions
Q: Can team members have different permissions (e.g., read-only access)? All team members currently have full admin access. Role-based permissions may be added in a future update.
Q: What if a team member forgets their password? They can use the "Forgot Password" link on the login page to reset it.
Q: Can I transfer ownership of my account to someone else? Contact support to arrange ownership transfer.
Q: How long do invite links last? Invite links expire after a period of time for security. If an invite expires, simply resend it from the Team page.
Q: Can I invite someone without giving them full admin access? Not currently. All team members have full access. Role-based permissions may be added in the future.
Q: What happens if I remove someone by mistake? Send them a new invite. They'll need to create a new account (or log in with their existing credentials if they've already signed up).
Q: Can two team members be logged in at the same time? Yes, multiple team members can access the admin panel simultaneously.
Q: Do team members need to download an app? No, they log in via web browser on any device.
